About this policy
Movie Poster Archives ("MPA," "we," "us," or "our") is a 501(c)(3) nonprofit film archive founded in 2016. Our EIN is 81-4277585. This policy explains what personal information we collect on movieposterarchives.org, how we use it, who we share it with, and the rights you have over your information.
We keep this policy short and plain because we believe most privacy policies are deliberately hard to read. If anything below is unclear, email us and we will explain.

What we collect
We only collect information that you give us, plus a small amount of technical data our website needs to function. Specifically:
Information you give us
- Contact forms and Ask the Archivist. Your name, email address, and the content of your message when you use any form on the site.
- Newsletter signup. Your email address (and, optionally, your name) when you subscribe to MPA announcements.
- Auction waitlist. Your name, email, and any questions you include.
- Account registration. Your name, email address, billing address, and shipping address when you create an account to bid or purchase.
- Bids, purchases, and payments. The items you bid on or buy, the amounts, and the date. Payment card details are entered directly on Stripe's or PayPal's secure pages — we never see or store your full card number.
- Shipping. The address you provide for us to ship items you win or buy.
Information collected automatically
- Server logs. Your IP address, browser type, and the pages you visit, retained for security and troubleshooting.
- Cookies. Small files stored by your browser. See the "Cookies" section below.
- Analytics. We use Google Analytics, which records anonymized browsing patterns (pages viewed, approximate location, device type) so we understand how the site is used.
How we use your information
We use your information to:
- Respond to questions you send us through contact forms.
- Send you the newsletter or auction alerts you signed up for (and nothing else — we do not share your email for marketing).
- Process bids, payments, and shipping for items you purchase.
- Maintain accurate supporter and buyer records for our nonprofit obligations.
- Protect the site from fraud, abuse, and security problems.
- Comply with legal obligations such as tax and donation reporting.
We do not sell your personal information. We do not rent it, trade it, or use it for advertising outside of MPA.
Who we share it with
We share your information only with the services that help us run the site and the organization. Each one sees only what it needs.
- Stripe (payment processing) — name, email, billing address, and card details you enter on Stripe's checkout. See Stripe's privacy policy.
- PayPal (payment processing) — the information PayPal needs to process your payment if you choose PayPal at checkout. See PayPal's privacy policy.
- Shippo (shipping labels) — the shipping name and address for items you have purchased. See Shippo's privacy policy.
- Salesforce (nonprofit donor and contact records, and newsletter sending) — the contact details you submit through forms, so we can keep accurate supporter records; if you subscribe to our newsletter or auction alerts, Salesforce is also the tool we use to send those emails to you. See Salesforce's privacy policy.
- Fluent Forms (form plugin on our website) — your name, email, and anything else you type into a contact, waitlist, or newsletter form. Fluent Forms runs on our own server and passes the data to Salesforce.
- DreamHost (website hosting) — operates the servers that store the site's data.
- Google Analytics — anonymized browsing data, as described above. See Google's privacy policy.
- Law enforcement or regulators — only if we are legally required to disclose information, such as in response to a valid subpoena or court order.
Cookies
Our site uses a small number of cookies:
- Functional cookies are required for the site to work — they keep you logged in, hold the items in your bidding or shopping session, and remember form progress. You cannot turn these off without breaking the site.
- Analytics cookies collect anonymized usage data through Google Analytics.
We do not use advertising cookies or third-party tracking cookies. You can clear cookies at any time in your browser settings. Your browser also offers a "Do Not Track" signal; we honor it by not loading analytics cookies when it is on.
How long we keep your information
We keep your information only as long as we need it for the purpose we collected it:
- Account, purchase, and donation records: seven years, to meet nonprofit and tax recordkeeping rules.
- Newsletter subscriber list: until you unsubscribe.
- Contact-form messages: up to three years, then deleted.
- Server logs: up to 90 days.
Your rights
You can ask us, at any time, to:
- Tell you what personal information we have about you.
- Correct information that is wrong.
- Delete your information, unless we are legally required to keep it (for example, a completed sale's tax records).
- Unsubscribe from our newsletter. Every email we send includes an unsubscribe link.
To make a request, email us at the address in the "Who to contact" section above. We will respond within 30 days.
If you live in California
California residents have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we have collected about you, the right to delete it, the right to correct it, and the right to opt out of its "sale" or "sharing." MPA does not sell or share personal information as those terms are defined under California law. To exercise any of these rights, email us. We will not discriminate against you for exercising them.
If you live in the European Union or United Kingdom
We rarely have EU or UK users, but if you are one, you have rights under the General Data Protection Regulation (GDPR) and UK GDPR, including access, correction, deletion, portability, and the right to object to processing. Email us to exercise them. Our legal basis for processing your information is your consent (for newsletters and forms), contract (for purchases), and legitimate interest (for security and fraud prevention).
Children's privacy
Our site is intended for adults. We do not knowingly collect information from anyone under 13. If you believe we have collected information from a child under 13, email us and we will delete it.
Security
We use reasonable technical and organizational measures to protect your information, including HTTPS on the entire site, password hashing for accounts, and limited staff access to personal data. No online system is perfectly secure, so we cannot promise absolute security, but we take it seriously.
Changes to this policy
If we make a material change to this policy, we will update the "Last updated" date at the top and, when appropriate, notify subscribers by email. Continued use of the site after a change means you accept the updated policy.
